Global Merchant & Network Services’ Global Customer Group (GCG) is responsible for our most important global merchant relationships. The team is  unique within American Express, collaborating globally to develop and execute opportunities that deliver value, strengthen partnerships, and generate revenue for the company. With a team of highly talented globally, the GCG team works with American Express to drive initiatives to grow our merchant business. The Executive Administrative Assistant will assist the two Vice Presidents and a collective team of 25 Directors and Managers directly with their clients, providing key administrative and tactical support to keep the team running efficiently. and efficient.

Main responsibility:
  • Manage VP calendar and schedule meetings/conference calls/breakout rooms for the team.  · Manage the submission of VP expense reports and assist with invoice processing.
  • Coordination and booking of VP’s trips in the Amex Concur system upon request.
  • Coordinate and support the integration and recruitment process of selected candidates in the team.
  • Become an SME/Tech Champion through GCG U.S.
  • Manage key department files, rosters and maintain org charts.
  • Handling correspondence, including mail, email and voicemail. Investigate and resolve team issues and customer issues related to the team.
  • Support tracking holidays, sick days at the request of VP team.
  • Order office supplies and maintain inventory.
  • Participate in special projects and initiatives as required.
Required skills/levels
  • More than 5 years of administrative experience in a similar role.  · Excellent organizational and time management skills, and  attention to detail to manage VP schedules, planning, and priorities.
  • Ability to work effectively with minimal supervision, practice self-discipline and be  able to prioritize workload.
  • Excellent interpersonal, written and verbal communication skills.
  • Requires a high degree of integrity to handle confidential information.
  • Ability to interact effectively at all levels of the organization as well as with external customers.
  • Flexibility to go above scheduled tasks to support team success.  Working knowledge of MS Office applications (Word, Excel, PowerPoint) and Outlook.
  • Experience with AXP web systems  (e.g. Ariba, Career Track, My HR, Payroll, etc.).
